1. About Us

State of Mind Psychology, Psychotherapy & Counselling provides psychology, psychotherapy, counselling and related therapeutic services. Information on this website is provided to help visitors understand the services we offer, our approach, our availability, and how to contact or book with us.

The information on this website is intended for general information only. It does not replace professional assessment, diagnosis, therapy, counselling, medical advice, legal advice, emergency support, or any other professional service that may be required depending on your circumstances.

2. Use of This Website

You agree to use this website lawfully, respectfully and only for its intended purpose. You must not use the website in any way that could damage, disable, overload, impair, or interfere with the normal operation of the website or with any other person’s use of it.

You must not attempt to gain unauthorised access to any part of the website, client portal, booking system, server, database, or any connected system. You must not submit false, misleading, abusive, unlawful, harmful, offensive or malicious information through the website.

We reserve the right to restrict or prevent access to the website where we believe the website is being misused or where there is a risk to the website, our services, our clients, or our systems.

3. Website Information

We aim to keep the information on this website accurate and up to date. However, we cannot guarantee that all information will always be complete, current or free from error.

Services, fees, availability, appointment times, professional details, articles, resources and website content may be changed or updated from time to time without prior notice.

Nothing on this website should be taken as a guarantee that a particular service, appointment, outcome, treatment approach or therapeutic result will be available or appropriate for you.

4. Therapy, Counselling and Psychological Services

Any therapy, counselling, psychology or related service provided by us will be subject to professional judgement, suitability, availability, clinical assessment, ethical obligations, safeguarding considerations, and any agreement made between us and the client.

We reserve the right to decline, pause, refer on, or end services where we consider that our service is not suitable, where a different type of support is required, where there is a conflict of interest, where safety concerns arise, where professional boundaries are not respected, or where continuing the service would not be appropriate.

Engaging with this website, submitting an enquiry, or requesting an appointment does not automatically create a therapist-client relationship. A professional relationship will only begin once we have confirmed that we are able to offer a service and both parties have agreed to proceed.

5. Emergency and Crisis Situations

This website is not an emergency service and should not be used in a crisis.

If you are in immediate danger, at risk of serious harm, or need urgent medical or mental health support, please contact emergency services immediately or attend your nearest emergency department.

If you are in Ireland and need urgent help, you should contact emergency services on 112 or 999, your GP, out-of-hours doctor, local mental health crisis service, or another appropriate emergency support service.

Emails, website forms, booking systems, messages, client portal communications, and voicemail may not be monitored continuously and should not be relied upon for urgent or emergency support.

6. Appointments and Bookings

Appointments may be requested through the website, by email, by phone, through a client portal, or by another agreed method.

An appointment is not confirmed until it has been accepted and confirmed by us. We may need to request further information before confirming whether a service is suitable or whether an appointment can be offered.

You are responsible for providing accurate contact details and attending appointments at the agreed time. If your contact information changes, you should let us know as soon as possible.

7. Online Sessions

Where online therapy, counselling or consultation sessions are offered, you are responsible for ensuring that you have a suitable internet connection, private space, working device, and appropriate software or access link.

You should attend online sessions from a private and safe location where you cannot easily be overheard or interrupted. We are not responsible for confidentiality issues caused by your own environment, device, internet connection or third-party access.

If technical difficulties occur, we will aim to agree a reasonable way to continue or rearrange the session where appropriate. However, we cannot guarantee uninterrupted access to online systems, video platforms, booking systems, email, or client portals.

8. Fees and Payment

Fees for services may vary depending on the type of appointment, service, programme, session length, or arrangement made with you.

Where fees apply, payment terms will be explained before or at the time of booking. Payment may be required in advance, at the time of booking, before the session, or by another agreed arrangement.

We reserve the right to change fees from time to time. Any fee changes will not normally affect appointments that have already been confirmed, unless otherwise agreed or clearly communicated.

If payment is not received when due, we may pause or decline further appointments until payment has been made.

9. Cancellations, Missed Appointments and Rescheduling

If you need to cancel or rearrange an appointment, you should give as much notice as possible.

A cancellation policy may apply, and late cancellations or missed appointments may still be charged, depending on the terms agreed at the time of booking or within the client agreement.

If we need to cancel or rearrange an appointment, we will aim to give you as much notice as reasonably possible and offer an alternative appointment where appropriate.

We are not liable for losses arising from cancelled or rearranged appointments, except where required by law.

10. Client Responsibilities

You agree to provide accurate and relevant information when contacting us, booking an appointment, completing forms, or engaging in services.

You are responsible for attending appointments on time, paying any agreed fees, informing us of relevant changes in your circumstances, and treating staff, practitioners and other service users with respect.

You should not use therapy or counselling services as a substitute for emergency medical care, urgent mental health crisis care, legal advice, financial advice, or other specialist professional support where such support is required.

11. Confidentiality

We treat client information with care and confidentiality. However, confidentiality is not absolute.

There may be circumstances where we are required or permitted to share information, including where there is a serious risk of harm to you or another person, where there are safeguarding concerns, where required by law, where ordered by a court, where necessary for professional consultation or supervision,

or where disclosure is required by professional, ethical or legal obligations.

Further information about how personal information is handled can be found in our Privacy Policy.

12. Client Portal and Online Accounts

Where a client portal or online account system is provided, you are responsible for keeping your login details secure and confidential.

You must not share access to your account with anyone else. If you believe your account has been accessed without permission, you should inform us as soon as possible.

We may suspend or restrict access to a client portal if we believe there has been misuse, a security concern, a breach of these Terms and Conditions, or any other valid reason.

13. Website Forms and Communications

You may contact us through website forms, email, telephone, booking systems or client portal tools.

Although we aim to respond within a reasonable time, we do not guarantee immediate responses.

Messages should not be used for emergency or crisis situations.

You are responsible for ensuring that any information you submit is accurate, lawful and appropriate. You should avoid submitting highly sensitive personal information through general website forms unless necessary.

15. Articles, Blog Content and Resources

Any articles, blog posts, resources or general information provided on this website are for general educational and informational purposes only.

16. Third-Party Links and Services

This website may include links to third-party websites, booking systems, client portals, payment providers, social media platforms, articles, resources or external services.

We are not responsible for the content, privacy practices, security, availability, accuracy or operation of third-party websites or services.

Using third-party websites or platforms is at your own risk and may be subject to their own terms, privacy policies and cookie policies.

17. Availability of the Website

We aim to keep the website available and working properly. However, we do not guarantee that the website will always be available, uninterrupted, secure or error-free.

Access to the website may be temporarily unavailable due to maintenance, updates, technical problems, hosting issues, security concerns, third-party service disruption, or circumstances outside our control.

We are not liable for any loss or inconvenience caused by temporary website unavailability.

18. Limitation of Liability

Nothing in these Terms and Conditions excludes or limits liability where it would be unlawful to do so.

To the fullest extent permitted by law, we are not liable for any indirect, incidental, consequential or special loss arising from your use of the website, reliance on website content, inability to access the website, use of third-party services, or delay in communication.

We do not guarantee that using this website or engaging with our services will result in any specific outcome, improvement, diagnosis, therapeutic result, personal change, or resolution of any issue.

19. Professional and Clinical Limitations

Therapy, counselling and psychological services can be helpful, but outcomes vary from person to person. Progress depends on many factors, including the nature of the issue, personal circumstances, engagement with the process, external support, and other relevant factors.

We cannot guarantee specific results from therapy, counselling, psychology or related services.

Where we believe another professional, service or emergency support provider is more appropriate, we may recommend that you seek support elsewhere.

20. Data Protection and Privacy

Your privacy is important to us. Personal information is handled in accordance with our Privacy Policy and applicable data protection laws.

Our Privacy Policy explains what information we collect, how we use it, how long we keep it, who it may be shared with, and your rights in relation to your personal data.
